GST reconciliation connects transaction records, books and return information. For a Gurugram business with multiple suppliers or a growing invoice volume, the aim is to explain differences before they become recurring problems. It is not simply a matter of making totals match by changing an unexplained number.
Start with a consistent reporting period
Collect the sales and purchase registers, debit and credit notes, relevant return data and available portal statements for the same period. Preserve the original downloads and label the date of each extraction. If a record changes later, keep a traceable explanation of what changed.
Define who prepares the reconciliation, who reviews exceptions and who approves the filing figures. A clear owner for each unresolved item is often more useful than a large spreadsheet without follow-up.
Check sales records against reporting
Review invoice sequences, cancellations, customer details, credit notes and the treatment of transactions that require specific handling. Investigate differences between invoiced sales, ledger totals and the information being reported. A timing difference and a missing invoice need different responses.
Document the reason and the action for each discrepancy. Avoid deleting an entry only to force agreement; retain the source record and use the appropriate correction process after review.
Review purchases and input tax credit
The GST portal recommends reconciling GSTR-2B against your books, avoiding duplicate credit and reviewing required reversals and reverse-charge obligations. A matching entry is not, on its own, a complete eligibility decision.
- Match supplier GSTIN, invoice number, date and tax amount.
- Separate missing entries, duplicate records and value differences.
- Check related credit notes and previous-period adjustments.
- Ask the reviewer to evaluate applicable credit restrictions and conditions.
- Keep a supplier follow-up list with the issue, owner and next action.
Turn exceptions into a review trail
Use an exception register with columns for document reference, mismatch type, amount, explanation, action owner and status. For example, if the books contain an invoice absent from the statement, verify the invoice and discuss the appropriate follow-up instead of assuming an automatic claim or permanent loss.
After review, retain the approved reconciliation and the information used for filing. If a matter remains unresolved, record how it was treated and when it will be revisited. Check current portal guidance for the applicable period because processes can change.
Tax Prime Services supports GST reconciliation enquiries in Gurugram. Share the number of registrations, reporting periods, approximate invoice volume and known issues first. The detailed review can then be scoped around your records and filing history.
Common questions
Does an entry in GSTR-2B guarantee that I can claim it?
No. The transaction still needs to satisfy the applicable legal conditions. Reconciliation is one part of the review.
Can I simply adjust a figure to make the totals agree?
An adjustment should have an identified basis and follow the appropriate process. Keep evidence explaining the difference and the reviewed treatment.
